Identify obligations at the vendor onboarding stage
Deciding how a payment should be treated at the point of onboarding a vendor is far easier than revisiting it later across many transactions. Capture the required details before the first payment, not after.
Keep deduction, deposit and reporting aligned
Most TDS difficulties come from a mismatch between what was deducted, what was deposited and what was reported. Reconciling these three each period keeps the quarterly return straightforward.
Issue certificates on schedule
Form 16 and 16A issuance is a service matter as much as a compliance one. Employees and vendors depend on them for their own filings, and delays create avoidable follow-up.
Maintain a calendar
Deposit dates, return dates and certificate dates recur predictably. A maintained calendar with named owners is the single most effective control here.
